Privacy policy

This policy covers the Cosmic Crypto Club Hub (hub.cosmiccrypto.club) and the club's Discord bots: what we keep about you, why, for how long, and how to get a copy or have it deleted. The website has its own Privacy Policy for visits to cosmiccrypto.club. The club responsible for your data — the controller — is shown at the top of this page.
1. What we keep
When you sign in with Discord we ask Discord only for your identity and your server list — not your email address. From there, and from your use of the club, we keep:
- Your Discord account: its id, username, display name and avatar, and your roles in the club's server.
- What you do in the Hub: the trades you follow, your notification settings and any phone or browser push subscriptions, your Schmeckles, XP, levels, achievements and shop history, your free trials and Trial Passes, the tickets you open and the files you upload with them, and templates you submit.
- If you subscribe: your plan, its status and dates, and the Stripe customer id that links your account to Stripe. Stripe holds your card and billing details; we never see or store your card.
- If you are staff: a log of the staff actions you take, with the time and network address, so changes to members and trades can be traced.
- Technical logs: our servers' logs of requests, including network addresses, kept for security and to fix faults.
We do not use advertising or tracking cookies, and analytics is switched off (see the Cookie policy).
2. Why we keep it
- To provide your membership (our contract with you): sign-in, giving you the roles and pages you are entitled to, billing, the trial, notifications.
- For legitimate interests: keeping the club secure, stopping abuse (several accounts, farming rewards), fixing faults and improving the Hub.
- Because the law requires it: keeping billing records for tax.
- With your consent: push notifications, which you can turn off at any time in Settings or your browser.
3. Who else sees it
- Discord, which runs sign-in and the server.
- Stripe, which takes payments.
- Cloudflare, which carries traffic to the Hub.
- Our own servers, where the Hub, its database and its backups run.
We do not sell your data, and the market-data services the club uses receive none of it.
4. How long we keep it
- Your account: while you are a member, and until you delete it (section 5).
- Billing records: about six years, as UK tax law requires — held by Stripe and by us.
- Backups: deleted data leaves our backups within 14 days, as older backups roll off.
- Server logs: kept for a short time, then deleted.
5. Your rights
Under UK data protection law you can ask for a copy of your data, have it corrected, have it deleted, restrict or object to how we use it, and take it elsewhere.
- A copy of your data: Settings → Your data → Download my data gives you a file of what the Hub holds about you.
- Deleting your account: Settings → Your data → Delete my account. Your name becomes Deleted member; your Discord id, avatar and sign-in links, your wallet, stakes, notifications and push subscriptions are removed, and your paid roles are taken away. Tickets, trades you posted as an analyst and staff records are kept under the anonymised name, because others' records depend on them. If you hold a paid plan, you are offered to cancel it first (the refund policy applies).
- One thing is kept in another form: a free trial you took stays on record under a one-way fingerprint of your Discord id instead of the id itself, so the one-free-trial rule still holds if the same account signs up again. The fingerprint cannot be turned back into your id.
- Asking us instead: open a ticket in the Discord server's #help channel. We act on requests within 30 days.
If you are unhappy with how we handle your data you can complain to the UK Information Commissioner's Office (ico.org.uk) — we would rather you told us first.
6. Changes
We may update this policy. The date at the top changes when we do, and a change that matters is announced in Discord.
